Exactor Tax Solution FAQ

What do I need to use the Exactor sales tax solution?

You need:

  • To be an Adhost client using either the Adhost Merchant 6 or CFWebstore Shopping Cart
  • An Account with Exactor
  • The Adhost / Exactor solution added to your Shopping Cart

How will it work?

Once you have the account and we have added the Adhost / Exactor code to your Shopping Cart, when a user checks out:

  • The shopping cart will make a ‘tax request’ to the Exactor database to get the correct tax for the order
  • This will be added to the order total
  • If the user completes the order, the Shopping Cart will ‘commit’ the order to your Exactor Account

What If I cancel or refund an order?

There are two options for this. Either is available under the terms of our standard setup charge.

1. Standard Adhost / Exactor Integration

  • A commit action is performed at the time of order for all valid orders.
  • If you later cancel an order, you must go to your Exactor Management Area and ‘refund’ the commit to remove it from your tax reports.
  • For a partial refund, in order to reconcile your tax reporting, you will need to refund the original and create a new record for the revised tax total.

2. Non-Standard Adhost / Exactor Integration

  • If you prefer, Adhost can modify the action to eliminate the commit at time of order.
  • You would then go to your Exactor Management area and select tax requests for commit – much in same way you might select transactions for settlement within a credit card gateway management area.

Can Adhost customize my Exactor Integration?

Yes. We are happy to work with you to define options and costs for more comprehensive integrations including the creation of exemptions on the fly or performing tax refunds or commits directly from your (CFWebstore) Shopping Cart Order Management Area. What about ‘Tax Exempt’ Customers?

Exactor’s Exemption module can be used to create an ‘Exemption ID’ for qualifying customers. This ID can then be entered into the customer record in your Shopping Cart, transmitted to Exactor on future orders and used to calculate the proper exemptions.

However, the Standard Adhost / Exactor integration does not include support of this feature in the web service or your Cart database. If you require this feature, just let us know and it can easily be added to your site when we add the Adhost / Exactor code.

What Adhost Merchant Product Field do I Map to the Exactor definitions?

The field labeled ‘Code’. If your products are ‘flat’ (you have no ‘sizes’), you will find this under the ‘Name’ field toward the top of the Product Edit page. If you products aren’t flat ( you do have ‘sizes’), you will find it at the left of the Sizes table toward the bottom of the Product Edit Screen.

What CFWebstore Product Field do I  Map to the Exactor definitions?

The “code” field under the Product Edit.

Do I need to Map a ‘SKU’ for Shipping and Handling?

No. This is already taken care of behind the scenes in our implementation. We pass the shipping and handling amount to Exactor mapped to that Exactor identifier already in place.

What is the credit that is available by Washington state?

To help retailers transition to destination-based sales tax, the state of Washington is providing to small retailers up to a $1,000 tax credit, to offset any necessary changes to their accounting, point-of-sale, or other systems, or two years of assistance from a certified service provider (CSP). As a CSP, using the Exactor services will make you eligible for this credit. The credit is available on the excise tax return, beginning with the July 2008 return. You are are eligible for this credit if you meet all of the following requirements:

  • Gross less than $500,000 in Washington sales annually;
  • Receive at least five percent of your taxable sales income from delivering the products you sell (compared to over the counter sales that occur in your premises); and
  • Receive at least one percent of your taxable sales income from delivering products outside the jurisdiction where you are located (for example to a different county, different state).

How do I register for this credit?

You do not need to make any special registration to be eligible for this tax credit. All you will need to do is maintain documentation to support your claim for eligibility, and take the credit on your tax returns. Let us know you are eligable and Exactor will add in the deduction on your return.
